This is how easyCoffee moved from pen and paper to real-time wage control across their estate in only a fortnight.






A growing café franchise with a number of sites across the UK, easyCoffee prides itself on not only providing the best possible customer service and engaging with the local community but looking after its staff too.

Part of making sure staff are happy is ensuring they are being paid correctly and things such as holiday allowance and overtime are monitored accurately. Sounds simple, right?

A painful approach to payroll

Wrong. As the group were using spreadsheets to keep track of staff time they were finding it increasingly difficult to accurately monitor holiday accrual and hours worked.

As if the dated approach to tracking staff time and attendance wasn't causing enough of a headache, how staff clocked in and out varied from store to store. Some were signing in and out on a paper chart and others were using a machine that printed the time they started or finished on a clocking card. The combination of these factors meant keeping control over staff costs and ensuring accurate payroll was proving tricky to say the least.

A time for change

easyCoffee decided something needed to change so went about finding a solution that would enable them to monitor staff time with greater accuracy and give them more control over staff costs. After extensive research they identified Rotaready as the best supplier to help them tackle the challenges they were facing.

Having started out using Rotaready to calculate and track holiday accrual, schedule staff rotas, monitor time and attendance and export this data to inform payroll; easyCoffee are now working closely with Rotaready to get even more from its software.

6 months on, Rotaready are working with easyCoffee to roll out a bespoke integration with its payroll provider. This will make the payroll process even simpler.

It doesn't stop there. The Rotaready team will continue to work closely with the team at easyCoffee to ensure they are getting the most out of every feature as the franchise grows. Next on the agenda is an integration with their EPOS provider to help them monitor sales with greater accuracy and make even more informed scheduling decisions in the future.
